Almost every restaurant in India has a UPI sticker at the counter. Almost every restaurant also has a story about a customer who showed a "payment successful" screen for the wrong amount, or paid to the wrong sticker, or paid and left before anyone checked. The fix is not a bigger sticker; it is making UPI part of the bill.

A dynamic QR is generated per bill, with the exact amount, and the gateway notifies the POS when the payment lands. The cashier does not need to see the customer's phone.

How it works in a POS

  1. Cashier taps Pay → UPI. The POS generates a QR for ₹556.50 tied to bill #1042.
  2. The QR prints on the bill, shows on the customer display, or appears on the waiter's phone for table-side payment.
  3. The customer scans with any UPI app and pays.
  4. The gateway confirms to the POS; the bill closes as paid by UPI, with the transaction reference stored.
  5. The day-end report shows UPI collections by bill, matching the settlement you receive.

Choosing a gateway

Razorpay is the most common choice for Indian restaurants; Cashfree, PhonePe for Business and others also work. Compare:

  • UPI fee (many gateways charge nothing or a very low percentage on UPI; cards cost more)
  • Settlement time (T+1 is typical; instant settlement usually costs extra)
  • Dynamic QR and webhook support – needed for automatic confirmation
  • Refund handling from the dashboard or API
  • Support responsiveness – payments problems happen at 9 pm on Saturday

Split, partial and failed payments

  • Split – two friends pay half each: the POS issues two QRs or takes one UPI and one cash, and the bill closes when the total is covered.
  • Partial – advance for a party booking recorded against the order; the balance is settled later.
  • Failed / pending – a payment that shows pending on the customer's app but not in the POS is not paid. Wait for gateway confirmation or take another method; never close the bill on a screenshot.
  • Refunds – issue from the gateway dashboard against the transaction; the POS should record the refund against the original bill so reports stay true.

Tourists, corporate cards and large bills still go to card terminals; cash has not disappeared. A good POS records every method against the bill, and the shift close reconciles cash in the drawer against cash sales, with UPI and card totals matched to gateway settlements.
